Job description

We are looking for a Senior Office Manager for a new Business Support Center in Budapest.

You will be responsible for:

  • Provide administrative and organizational support to the management within the daily business (e.g. preparation of management presentations)
  • Welcome visitors and new employees and foster a supportive and welcoming atmosphere
  • Responsible for office management (e.g. coordination of external service providers, communication with landlords, organization of the mandatory office health & safety sessions, etc.)
  • General administrative tasks (order management for office supply, postal services, etc.)
  • Play an active role in building company culture by ensuring an employee-friendly work atmosphere
  • Being able to manage stakeholders on all levels
  • Coordinate and prepare internal and external meetings, marketing events, team and company events
  • Coordinate IT support and supply need both with central IT department and external service provider
  • Support the different departments in various topics (e.g. preparation of cost overviews, travel expense reports and reimbursement of expenses, support the coordination of the onboarding of new employees)
  • Manage the car fleet in close cooperation with the fleet operator, follow up on regular check ups on the vechicles, manage fuel cards and their settlement etc.
  • Organize and support the travel of the SCE employees (support the booking of flights and accomodation, be point of contact for travellers and travel agency)
  • Manage in-and outbound calls and written correspondence
  • At least 5 years' experience as an Office Manager in start-ups, SSC’s, management consultancies, law firms or in a similarly dynamic environment
  • Administrative as well as organizational skills, expecially when managing multiple open requisitions
  • Focus on quality management and strong customer orientation
  • Analytical mind focusing on problem solving and on results
  • Empathic communication skills in combination with a structured way of working and a pragmatic approach
  • Being able to create personal reliable professional networks (internal & external) and make use of it
  • Ability to function autonomously, organize self and others, as well as to cooperate as one in a team environment
  • Enjoy working in an international environment and a mindset of thinking global / acting local
  • Fluent computer skills, including office applications, combined with tech & digitization affinity
  • Motivated to take initiative and to drive continuous improvement
